Explaining Your Shift Availability Clearly

“I am flexible” can mean different things to an applicant and a hotel manager. Before an interview, translate your availability into specific days and times. This helps both sides discuss a realistic schedule without relying on assumptions.

What to check and why it matters
CheckWhat to know
Separate regular and occasional availabilityWrite down the hours you can normally work and any dates that are already unavailable. Then identify changes you could occasionally discuss. Do not describe an occasional possibility as a regular commitment.
Include travel in your calculationThe end of a class, appointment, or other commitment is not automatically the time you can start work. Add the journey to the hotel and any preparation time that the employer explains. Check what “shift starts at 07:00” means for arrival and readiness.
Confirm the arrangement in writingAfter discussing availability, summarize what you understood through the agreed channel. Ask who prepares the schedule, how changes are requested, and when schedules are normally shared.
Do not confuse an advertised window with a chosen shiftHello Work warns that a broad working-time window may not allow every applicant's preferred hours. See working-hours guidance (Japanese).

Separate regular and occasional availability

Write down the hours you can normally work and any dates that are already unavailable. Then identify changes you could occasionally discuss. Do not describe an occasional possibility as a regular commitment.

For example: “I am available on Tuesday and Thursday from 09:00 to 17:00. I can discuss some Saturday shifts with advance notice, but Saturdays are not part of my regular availability.” Use your actual circumstances, not this example's hours.

If your schedule will change, state when you expect to know the new information. It is more useful to say “I can confirm next month's Wednesday availability on Friday” than to promise a day you have not checked.

    Include travel in your calculation

The end of a class, appointment, or other commitment is not automatically the time you can start work. Add the journey to the hotel and any preparation time that the employer explains. Check what “shift starts at 07:00” means for arrival and readiness.

Likewise, do not assume an advertised finish time tells you everything about closing duties. Ask how the department plans and communicates them.

      Confirm the arrangement in writing

After discussing availability, summarize what you understood through the agreed channel. Ask who prepares the schedule, how changes are requested, and when schedules are normally shared.

A useful final question is: “Are these hours compatible with the shifts you currently need to cover?” The answer may reveal a mismatch before either side makes plans.

Keep your availability note updated for each application. Consistency between your form, interview answer, and later messages makes the conversation easier to follow.

Do not confuse an advertised window with a chosen shift

Hello Work warns that a broad working-time window may not allow every applicant's preferred hours. See working-hours guidance (Japanese).

Fictional listing: “Four hours between 07:00 and 15:00.” Your availability: 10:00 to 14:00. The useful question is not “Is this flexible?” but “Is 10:00 to 14:00 an available shift for this vacancy?” Record the answer separately from the listing. Until the employer confirms, mark this match as unresolved rather than counting it as a suitable schedule.
